Flowven AI provides AI document automation for trucking and logistics businesses. This policy explains what information we collect when you visit this website or contact us, and how we handle documents belonging to our clients.
Who we are

Information we collect from website visitors
This website does not use advertising pixels or analytics scripts. We do not build visitor profiles and we do not sell data to anyone.
Our web host records standard server logs — IP address, browser type, pages requested, and timestamps — which exist for security and troubleshooting. These are generated by the hosting infrastructure rather than collected by us, and we do not use them to identify individuals.
The booking calendar on our home page is provided by Cal.com, which loads on the page and may set cookies necessary for scheduling to function. If you book a call, the details you enter go to Cal.com and to us. We use them only to hold and prepare for the meeting.
Information you give us directly
If you email us or book a call, we receive whatever you choose to send: typically your name, email address, company name, phone number, and anything you tell us about your operation. We use it only to respond to you, prepare for the call, and follow up.
We keep this correspondence for as long as we have an active or prospective business relationship. Ask us to delete it and we will.
Client documents
For clients, we process freight documents — rate confirmations, bills of lading, proofs of delivery, lumper receipts, and invoices — in order to extract structured data and return it. This is the core of our service, and it works as follows:
- The documents remain the client's. We process them on the client's instructions and on their behalf.
- We do not sell client documents or the data extracted from them, and we do not share them with anyone outside the processing described in a client's agreement.
- We do not use client documents to train public or third-party AI models.
- Documents may contain personal information — driver names, signatures, contact details. We treat that as confidential and limit access to what is needed to run and support the service.
- Retention is set by the client agreement. On termination we delete or return client data on request.
The specific terms for any engagement, including retention periods and security commitments, are set out in that client's contract, which takes precedence over this general policy.
Service providers
We rely on a small number of third parties to operate:
- Namecheap — website and email hosting.
- Cal.com — scheduling for discovery calls.
Each processes only what it needs to perform its function, and we do not permit them to use your information for their own marketing.
Security
We use access controls, encrypted connections, and reputable infrastructure providers to protect information in our care. No system is perfectly secure, and we will not claim otherwise — but if a breach affects your information, we will tell you promptly.
Your rights
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email keeshan@flowvenai.com and we will respond within 30 days. If you are contacting us about documents we process on behalf of one of our clients, we will refer your request to that client, who controls that data.
Children
This is a business-to-business service. It is not directed at children and we do not knowingly collect information from anyone under 16.
Changes to this policy
If we change how we handle information — for example, by adding website analytics — we will update this page and revise the date at the top.
